Google Business Profile Setup Guide: How Hong Kong SMEs Get Found on Maps

When customers search for an accountant nearby or a logistics company in Sheung Shui, Google Maps shows businesses with a profile first. This guide walks you from creating a profile to monthly upkeep.

For a Hong Kong SME doing local SEO, the first step is not building a website. It is setting up a complete Google Business Profile (formerly Google My Business). When a customer searches on their phone for "accountant near me", "logistics company Sheung Shui" or "beauty salon Mong Kok", Google shows a map with three businesses before any regular website result. Without a profile, you are not even in the running.

Before You Start: Storefront or Service-Area Business?

Google Business Profile has two main business types, and choosing the wrong one directly affects whether your profile passes review.

Two points where Hong Kong SMEs most often trip up:

  • Virtual office and co-working addresses may not qualify. Google requires a storefront address to be a place where staff receive customers during business hours. If you use a company-secretary registered address, a mailbox address or a shared space with no fixed staff, the profile may be rejected or suspended later. These businesses should be set up as service-area businesses with the address hidden.
  • Industrial-building offices are fine, but you need a sign or door plate as proof. During verification Google may ask for a video showing the company name at the entrance, the office interior and evidence of operations.

Step 1: Create or Claim the Profile

  1. Sign in to the Google Business Profile manager with a company Google account, not an employee's personal account.
  2. Search for your company name. If your business already exists on Google Maps (added by a customer earlier, or generated automatically by Google), choose "claim" rather than creating a new one, to avoid duplicate profiles.
  3. If nothing is found, choose "add business" and enter the company name. The business name must match your signage, business registration or website exactly. Do not add service keywords or district names. "ABC Accounting Sheung Shui Tax Filing" is a violation and Google can suspend the profile for it.

Step 2: Complete Verification

Google decides the verification method based on your business type and address. You cannot choose it. Methods commonly seen in Hong Kong since 2025 include:

  • Video verification: record one continuous phone video showing the street and building number, the company sign, the office interior and proof that you manage the business (tools of the trade, staff, business registration certificate). This is currently the most common method.
  • Phone or SMS verification: some businesses receive a code.
  • Postcard by mail: less common now, takes about two weeks.
  • Email verification: usually only for businesses with an established online footprint.

Do not change the business name or address while verification is pending, or the process restarts. Review normally takes a few days to two weeks.

Step 3: Choose Primary and Secondary Categories

Categories are the strongest signal Google uses to understand what you do, and they have the biggest effect on relevance.

  • There is only one primary category. Choose the one that most precisely describes your core business. A supermarket listing consultancy should pick "marketing consultant" or "marketing agency", not a generic "business service".
  • You can add up to nine secondary categories, but only for services you genuinely provide. An accounting firm might add "tax consultant" and "company secretary service".
  • Do not add unrelated categories for "extra exposure". Google treats this as misleading.

Step 4: Services, Service Areas and Business Details

This step decides whether a customer who sees your profile actually contacts you.

Services: under each category you can list individual services such as "supermarket listing application", "promoter staffing" or "local SEO". Each can carry a short description and an optional price range. Be specific. Google only surfaces you for relevant searches when the services are spelled out.

Service areas: a service-area business can set up to 20 areas, such as "Sheung Shui", "Tai Po", "Sha Tin" or all of "Hong Kong". Do not set areas you do not actually serve.

Basic details:

  • Opening hours: enter the real hours, and use the "special hours" feature for public holidays.
  • Phone: use the main company line, matching your website footer.
  • Website: link to the home page or the most relevant service page.
  • WhatsApp: the profile supports a "message" button, but many Hong Kong customers prefer WhatsApp directly. State the WhatsApp number in the business description and in posts.
  • Business description: up to 750 characters, with the first 250 mattering most. Say who you serve, what you provide and which districts you cover. No URLs or promotional phrases.
  • Opening date: enter the real year. Google uses it to display "X years in business".

Step 5: Photos, Products and Services, Posts

Once the basics are complete, keep adding content so the profile stays active.

  • Photos: upload at least the logo, a cover photo, the office or shop exterior, the interior, the team and service-in-action photos. Add two to four new photos each month. Use real photographs, not stock images.
  • Products and services: retailers can list hero products under "products"; service businesses use "services". Give each a photo and a short description.
  • Posts: similar to social media updates, covering "what's new", "offers" and "events". Posts expire after roughly six months. Publish one every two to four weeks, linking to the relevant page on your website.

Step 6: Review Replies and Q&A

Reviews: reply to every review, including negative ones. Reply as the company, keep the tone professional and address the specific points the reviewer raised. Avoid canned replies.

Q&A: anyone can ask a question on your profile, and anyone can answer. Proactively add five to ten questions customers ask most, such as "is there a minimum order" or "do you cover the outlying islands", and answer them from the company account so third parties do not answer incorrectly.

NAP Consistency: Website, Profile and Directories Must Match Exactly

NAP stands for Name, Address and Phone. Google compares the details on your profile, website, Facebook, Instagram, Yellow Pages and industry directories. The more consistent they are, the more trustworthy you appear.

How Map Results Are Ranked: Three Factors

Google states publicly that local results are driven mainly by three factors. We never promise rankings, but you can prepare for each one:

  • Relevance: how closely your categories, services and description match what the customer typed. The more complete and specific the profile, the higher the relevance.
  • Distance: how far the searcher is from your address or service area. You cannot control this, but a correctly set service area makes sure you appear in the districts you genuinely cover.
  • Prominence: Google's overall awareness of your business, including review volume and quality, your website's SEO performance and mentions on other websites. This factor is directly tied to your own website's SEO. The profile and the website only work when they are built together.

Monthly Maintenance Checklist

A profile is not finished once it is created. Here is what we suggest SMEs spend about one hour on each month:

  • Reply to all new reviews
  • Check and answer new Q&A
  • Publish at least one post (offer, new service, case or event)
  • Upload two to four new photos
  • Confirm opening hours and set next month's public holiday special hours in advance
  • Check for Google-suggested "automatic edits" (Google sometimes changes your details based on user suggestions; confirm or reject them)
  • Review the "performance" data once: searches, views, calls, website clicks, direction requests

Buying reviews deserves a specific warning. Services exist that claim to "add five-star reviews". Google's detection compares the behaviour patterns of reviewer accounts, and once reviews are judged fake, they are not only removed but the whole profile can be suspended, with a long appeal process. A small but steadily growing number of genuine reviews is far safer than dozens of suspicious ones arriving at once.

How the Profile and the Website Work Together

The profile handles the map and local results. The website handles regular search results and conversion. They should point at each other: the profile links to the most relevant service page, and the website's contact page embeds the Google map and marks up the same NAP in structured data. FAQ

Q1: Is Google Business Profile free? Yes. Creating, verifying and managing a Google Business Profile is completely free. Google charges no listing or display fee. If you receive a call or email claiming to represent Google and asking for payment to "keep your profile", it is almost certainly a scam.

Q2: I have no shop and only provide on-site services. Can I still create a profile? Yes. Choose the "service-area business" type, hide the address and set only the areas you serve. Google still needs a real operating address for verification (your office or home), but it will not be shown publicly.

Q3: Can I use a virtual office or company-secretary address? Usually not as a storefront, because no staff receive customers there during business hours. Set the business up as a service-area business with the address hidden instead. Insisting on using such an address as a storefront risks failed verification or later suspension.

Q4: How long does verification take? Video or phone verification is usually completed within a few days, but Google's manual review can take up to two weeks. Do not change the name, address or category during that period, or the process may restart.

Q5: Once the profile is live, will I rank first on Maps? Not automatically, and there is no way to guarantee a ranking. Map results depend on relevance, distance and prominence. A complete profile only addresses relevance. Prominence depends on your website's SEO, accumulated reviews and mentions on other sites, and needs ongoing work.
